Pavo Real Tango Terms & Conditions

Event Policies

Pavo Real Tango Marathon is a private event, accessible only to individuals who have successfully registered and are listed as participants by the organizers.  The organizers of the event assume the right of selecting the participants, meaning that "first come, first in" principle is not applied.

  • Event Access: Entry is granted exclusively to confirmed participants, defined as those whose registrations have been accepted and whose payments have been completed.
  • Registration Process: All registrations and accomodation bookings must be submitted through the official form on our website. The form is for expressing interest only. Submitting the form does not confirm or guarantee automatically the participation.
  • Event Ticketing: Single evening tickets are not available; only full-event bookings are accepted.
  • Confirmation Timeline: After registration, a response will be provided within 15 days. If your registration cannot be accepted within this timeframe or if no reply is sent, you will be placed on a waiting list. We will contact you when a spot becomes available.

Pavo Real Tango is a private event with limited participation, and all registrations are subject to approval. As maintaining gender balance is a priority, we may not be able to accommodate all applicants. Registrations are reviewed considering various factors, including dance level, gender balance, diversity of nationalities, and the overall atmosphere we aim to create. These considerations help us maintain a comfortable, balanced, and harmonious environment for everyone. The organizers may contact the particiapants  or other dancers to verify their tango experience and participation in previous tango events.The organizers reserve the right not to disclose the reasons for registration rejections. We appreciate your understanding and respect for this process.

Partner Registration

Registration as a couple is highly recommended. Seperate forms must be filled for both partners. The number of participants might be limited at the organizers discretion and a healthy ration between followers and leaders will be maintained. The organizers reserve the absolute right to accept or reject any application for participating in the event (including festival, marathon, encuentro, meeting, congress, competition, lessons, milongas, parties, tours, or any other activity related to the event) at their sole discretion, without assigning any reasons thereof. Legal recourse in case of refusal is not permitted.
When registering with a dance partner, your registrations are considered linked, meaning:

  • Linked Registration: Both registrations must reference each other by name to be considered as a pair. Registering with roommates does not bound your registrations together.If all of you get accepted we'll arrange the accommodation of your choice. If some of you get accepted, we'll coordinate together finding new roommates from the participants.
  • Acceptance: Both partners will either be accepted together or not at all.
  • Payment: Full payment from both partners is required for confirmation.
  • Cancellation: If one partner cancels, both registrations will be canceled. If the other partner still wishes to participate, they must submit a new registration form. Please note that the new registration will be considered independently and does not guarantee participation. It will be subject to the same terms, conditions, and selection criteria.
    Note: If you registered without a partner and your registration has been approved, you cannot add a partner to your registration afterward. If you registered as a couple or dance both roles, this cannot be guaranteed as a basis for registration approval.

Force Majeure Clause 

If any event or circumstance beyond the organizers' control arises, preventing the full or partial execution of activities (a “Force Majeure Event”), the organizers may suspend their obligations to participants without assuming responsibility for any resulting impacts. In such cases, the organizers will not be held accountable for any losses or damages incurred by participants and will not be obligated to provide compensation or refunds. A Force Majeure Event includes, but is not limited to, epidemics, pandemics, typhoons, fires, floods, riots, earthquakes, civil unrest, strikes, labor disputes, explosions, sabotage, accidents, war, terrorism, acts of God, or any other events beyond the organizers' control.

Payment Guidelines

  • Payment Deadline: Upon acceptance of your registration, payment details will be provided with a 7-day window to complete your payment. No reminders will be sent, and failure to pay within this period may result in your spot being given to another participant.
  • Bank Transfer Fees: If you choose to pay by bank transfer, an additional fee may be  added to cover processing fees.
  • Additional Fees: Any transaction fees associated with your payment method are the responsibility of the participant.
  • Alternative Payment Methods: If bank transfer is not possible, please contact us promptly.
  • Booking Travel: Do not book any travel tickets until you receive our final confirmation email. If you don’t receive it, please check your SPAM folder or contact us directly.

Refund Terms

  • Deposit/pass Refund Policy: The deposit of 120€ is non-refundable.
  • Accomodation Cancellation Policy: To confirm your room reservation, a deposit of 30% of the remaining amount is required. This amount is non-refundable.
    The balance will be paid upon your arrival at the hotel.
  • Non-Transferable Pass: Your pass and confirmed participation are personal and cannot be transferred or used by another person for any part of the event.

Conduct Expectations

  • Smoking Policy: Smoking is strictly prohibited inside the venue, with designated areas available for smokers. Violation of this rule may result in expulsion from the marathon without a refund.
  • Personal Belongings: The organizers are not responsible for any valuables or personal items left unattended during the event.
  • Respectful Environment: Pavo Real Tango is an international event welcoming participants from around the world. To maintain a peaceful, friendly, and respectful atmosphere, political statements or behavior that may disturb or create tension among participants are not welcome. All participants are expected to respect others and follow tango etiquette, including mirada, cabeceo, and respect for the ronda. In case of serious or repeated violations, the organizers reserve the right to take appropriate action, including cancellation of registration or removal from the event without refund.

Use of Personal Data by the Organizers

The organizers will store personal data provided by the participant in a secure database. By participating in an event, the participant grants the organizers permission to use this data to send relevant information to the participant. If the participant has explicitly given consent on the registration form, their personal data may also be shared with third parties for the purpose of sending information to the participant.

By entering into this agreement, the participant also grants the organizers permission to publish their name, for example, in newspapers or on the Internet, as part of event-related publications.

This policy ensures transparency in the use and handling of personal data while respecting applicable data protection laws.

Intellectual Property Rights

Photography and filming will be conducted by the organizers during the event. By attending the event, participants consent to being photographed or recorded. Attendees agree that these photos and videos may be shared on social media, event pages, and used for promotional purposes, with no objections. If any photo or video infringes on a participant's privacy or feelings, they should formally request its removal by notifying the organizers. However, personal and non-commercial photography and videography are allowed during milongas. Please respect others' privacy when capturing images or videos. All content on this website and associated social media accounts, including but not limited to text, images, graphics, logos, videos, and audio clips, is the intellectual property of the event and is protected by copyright laws.

a) You may view, download, and print content from the website and social media accounts for personal, non-commercial use only.

b) You may share our content on social media platforms, provided you properly attribute it to the official event name and do not alter or modify it in any way.

c) Commercial use, reproduction, distribution, or modification of any content from the website or social media accounts without prior written permission from the organizers is prohibited.

Copyright Ownership: The organizers retain all rights, title, and interest in the content posted on the website, emails, printed materials, and social media accounts, including any derivative works. Third-party Content: Some content on the website and social media accounts may include materials licensed from third parties, which remain the intellectual property of their respective owners. Reporting Copyright Infringement: If you believe any content on the website or social media accounts infringes your copyright, please contact us with details. We will investigate promptly and take appropriate action in line with copyright laws.

Changes to Copyright Notice: The organizers reserve the right to update or modify this copyright notice at any time without prior notice. Any changes will take effect immediately upon posting on the website and social media accounts.

Participant Acknowledgment of Risk and Responsibility

Participation in the event is at the participant's own risk. The organizers are not liable for any damages, regardless of their nature, suffered by a participant as a result of their participation in the event.

Participants must ensure they have adequate insurance coverage for any potential damages, including those incurred by themselves or surviving family members, due to death, injury, or illness caused by their participation in the event.

By participating, the participant declares that they are in good physical and mental health, meet the necessary requirements, and have adequately prepared for the event through appropriate training. The organizers strongly recommend participants undergo a medical examination before taking part in the event.

Event Changes

The event organizers reserve the right to make changes to the event as necessary, including adjustments to the schedule, performers, venue, instructors, event dates, pricing, terms, conditions, policies, and procedures without prior notice. Any such changes, whether communicated via the website, email, social media, or other channels, before or during the event, will be considered valid.

These terms and conditions ensure that all participants are aware of the guidelines and expectations for the Pavo Tango Marathon, helping to create a smooth and enjoyable experience for everyone involved.

By applying, registering, purchasing any ticket, or attending as guest or with any other way to this event, attendees acknowledge that they have read, understood, and agreed to abide by these terms and conditionsand or any other terms and conditions in these website.
